This guide explains how to add a publication to our Web Asset Management System (WAM), including assigning editors, categorizing the content, adding SEO metadata, and understanding the approval workflow. Please follow these steps to ensure your publication appears correctly across our Extension website.
 

Complete the following required fields:

Title – The main heading that appears at the top of your page.
Summary – A short (1-2 sentence) description of the publication’s purpose or value.
Authors – List of individuals who contributed to the publication.
File Upload – Attach a PDF or other document format for download.
Publish Date – The date the content goes live.
 
Assign Editors - Use the “Editors” field to assign any staff who will manage or update this content. Editors will be able to make revisions even after the publication goes live. Begin typing their name or NetID to find and select them.

Categorize the Publication - Proper categorization ensures your publication appears in the correct locations on the website.

  1. Categories
    Choose one or more topic categories that best describe the publication (e.g., Horticulture, Livestock, Health and Nutrition).
  2. Web Groups
    Select relevant web groups associated with this content. Web groups are internal collections (e.g., 4-H, Herds to Harvest) that help manage content ownership.
  3. Food System Pillars (if applicable)
    If your publication is part of our Food Systems initiative, select the pillar(s) it supports:
  4. County Pages - Assign the counties where this content is relevant. This allows the publication to show up on local Extension pages.

Add SEO Metadata - Optimize your publication for search engines:

  • SEO Title – A concise and descriptive version of the publication title (up to 60 characters).
  • Meta Description – A brief summary (under 160 characters) that encourages users to click. This appears in search engine results.
  • Keywords – Optional. Enter 3–5 comma-separated keywords users might search for.

Submit for Review - Once you've filled out all required fields and reviewed your content, click "Submit for Review." This will begin the publication workflow.

After Publishing

  • You can still edit your publication post-launch (if you are assigned as an editor). Major updates will re-trigger the workflow process to ensure content quality and accuracy.
  • Programmatic associations - You will need to associate the publication with all Extension Programs if you want the publication to show up in the program's library. 

Tips for Success
Use plain language and short paragraphs.
Include high-quality visuals or infographics if possible.
Double-check categories and SEO before submitting.
If your content serves multiple audiences, be sure to assign multiple counties or web groups.
